  • Type of property (e.g., terrace house, condominium, office)
  • Services you are interested in (e.g., home renovation, interior design, kitchen cabinetry)
  • Project timeline, budget range, or other details you choose to share

Information collected automatically

When you visit our website, we automatically collect certain technical and behavioural data through cookies and tracking tools, including:

  • IP address and general geographic location
  • Browser type and device type
  • Pages visited, time spent on each page, and referring URL
  • Clicks on calls-to-action (WhatsApp button, phone number, contact form)

3. How We Use Your Data

We use the personal data you provide for the following purposes:

To respond to your enquiry

When you submit a quotation request or contact form, we use your details to follow up via phone, WhatsApp, or email to discuss your renovation project, arrange a site visit, and provide a written quotation.

To manage and nurture your enquiry

Your contact details and project information are stored in our customer relationship management (CRM) system. We may send follow-up messages via WhatsApp or email to update you on the status of your enquiry, share relevant project portfolios, or provide information about our services. You may opt out of follow-up communications at any time by replying STOP or by contacting us directly.

To fulfil your renovation contract

Once a project is underway, we use your details to coordinate site visits, communicate project progress, issue invoices, and manage the contractual relationship.

To improve our services and marketing

We analyse aggregated, anonymised data about how visitors use our website to improve site performance, identify high-interest pages, and refine our service offerings.

To run paid advertising campaigns

We use conversion tracking and audience tools provided by Google Ads and Meta (Facebook and Instagram) to measure the effectiveness of our paid advertisements and to show relevant ads to people who have previously expressed interest in our services. See Section 6 for full details.

4. Legal Basis for Processing

Under the PDPA 2010, we process your personal data on the following grounds:

  • Consent: When you voluntarily submit your details through our contact form, WhatsApp, or other enquiry channels, you are consenting to us processing that data to respond to your request.
  • Contractual necessity: When you engage us for a renovation project, processing your personal data is necessary to fulfil the contract.
  • Legitimate interest: We have a legitimate interest in following up on genuine renovation enquiries, improving our marketing effectiveness, and measuring advertising performance - provided this does not override your rights.

5. How Long We Keep Your Data

We retain your personal data for as long as is necessary for the purposes set out in this policy:

  • Enquiry data (no project awarded): Up to 12 months from the date of your last communication with us.
  • Project data (contract executed): Up to 7 years after project completion, in accordance with Malaysian accounting and legal requirements.
  • Marketing analytics data: As governed by the respective third-party platforms (Google, Meta); typically up to 26 months for analytics data.

After the applicable retention period, your data will be securely deleted or anonymised.

6. Third-Party Tools & Data Sharing

We use the following third-party tools that may process your personal data. Each is subject to its own privacy policy.

Google Tag Manager & Google Analytics 4

We use Google Tag Manager to deploy and manage tracking scripts on our website, including Google Analytics 4 (GA4). GA4 tracks user behaviour on our site (pages visited, events triggered) using anonymised data. No personally identifiable information is sent to Google Analytics. Google Privacy Policy.

Google Ads

We run paid search campaigns on Google. Google Ads conversion tracking records actions you take on our site after clicking an ad (e.g., submitting a contact form, clicking our phone number). We may also use Google's Customer Match and remarketing features to show ads to people who have previously visited our website. Google Privacy Policy.

Meta Pixel (Facebook & Instagram)

We may use Meta Pixel to track conversions from Facebook and Instagram ads, to build lookalike audiences, and to retarget website visitors on Meta platforms. The pixel collects information about your actions on our website (e.g., page views, form submissions) and shares it with Meta in accordance with Meta's data policy. Meta Privacy Policy.

CRM & Workflow Automation

Enquiry data you submit may be stored and processed in our CRM platform to manage follow-up communications, track lead status, and automate workflow notifications to our team. Data stored in the CRM is accessible only to authorised Sun Synergy Contracts personnel and is not sold or shared with third parties for their own marketing purposes.

WhatsApp Business

If you contact us or consent to follow-up via WhatsApp, your messages and phone number are processed through WhatsApp's platform, which is subject to Meta's privacy policy. We use WhatsApp to communicate project details, share quotations, and send follow-up updates related to your enquiry.

Email (Google Workspace)

We use Google Workspace (Gmail) for email communications. Emails you send us are stored on Google's servers and subject to Google's Privacy Policy.

7. Data Security

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, disclosure, alteration, or destruction. Our website is served over HTTPS and access to CRM systems is restricted to authorised personnel only.

No method of transmission over the internet is completely secure. While we strive to protect your data, we cannot guarantee its absolute security.

8. Your Rights Under the PDPA

Under Malaysia's Personal Data Protection Act 2010, you have the right to:

  • Access the personal data we hold about you.
  • Correct any inaccurate or incomplete personal data.
  • Withdraw consent to the processing of your personal data at any time (this will not affect processing carried out before withdrawal).
  • Request deletion of your personal data, subject to our legal retention obligations.
  • Opt out of direct marketing communications.

9. Children's Privacy
