Hiring a renovation contractor is one of the most significant decisions you will make for your home or business premises. The right contractor delivers on time, on budget, and to the standard you agreed. The wrong one disappears with your deposit, demands extra payments mid-project, or leaves you with defects that take months to resolve.
These seven questions are designed to help you separate credible, experienced contractors from those who should not have been on your shortlist in the first place.
1. Are You CIDB Registered, and What Is Your Grade?
The Construction Industry Development Board (CIDB) registers contractors in Malaysia across grades G1 to G7, based on financial capacity, technical expertise, and past project experience. For residential and commercial renovation work, you want a contractor who is at minimum CIDB Grade 4 (G4) - this means they are licensed to carry out renovation contracts of significant value and have met the board’s requirements for technical personnel and insurance.
Ask to see the contractor’s CIDB registration certificate. A legitimate contractor will produce it immediately. One who hesitates or claims they “do not need it” for smaller jobs is a red flag - CIDB registration is a legal requirement for contractors operating above a certain contract value threshold.

2. Can You Show Me a Completed Project I Can Visit?
A portfolio of photographs is a starting point, but photographs can be sourced from anywhere. What you want is the ability to visit a completed project - ideally one of similar scope and type to yours - and speak briefly with the client.
A contractor who cannot offer at least one reference visit in the Klang Valley within the past two years either has no verifiable completed projects or has clients who would not speak positively about their experience. Both are reasons to look elsewhere.
3. Will the Quotation Be Itemised and Fixed-Price?
There are two types of renovation quotations:
- Itemised, fixed-price: Every line item (materials, quantities, unit rates, labour) is listed separately. The total is agreed upfront and only changes if the scope changes.
- Lump sum or estimate-only: A single number with no breakdown. Often framed as “inclusive of all works” - which means nothing, because there is no way to verify what is and is not included.
Always insist on an itemised quotation. This is the only way to compare contractors fairly, understand where your money is going, and hold the contractor accountable if a line item is missed or underdelivered.
Variation claims - requests for additional payment after the contract is signed - are far less common when the original quotation is fully itemised and agreed in writing.
4. Who Will Be On-Site Every Day?
There is a significant difference between a contractor and a subcontractor coordinator. Some companies win projects, then outsource all the labour to different teams of workers who have no relationship with the business and no accountability to you.
Ask who specifically will be on-site to supervise work each day, what their background is, and how they will communicate progress to you. A good answer names a site supervisor and describes a clear communication process. A vague answer like “we have experienced workers” tells you nothing.
5. What Is Your Payment Schedule?
Reputable renovation contractors use a milestone-based payment schedule tied to the completion of defined phases of work - for example:
- 20-30% upon signing (deposit)
- 20-30% upon commencement or completion of structural/rough-in works
- 20-30% upon completion of tiling, carpentry, and second fix
- 10-20% upon practical completion and handover
- 5-10% retention, released after a defect liability period
Be cautious of any contractor who requests more than 40% upfront before work begins, or who cannot provide a written payment schedule tied to specific milestones. Contractors who need large upfront payments are often financing other projects with your money.
6. What Is Your Defect Liability Period and Warranty?
Every reputable renovation contractor should offer a defect liability period (DLP) - typically 12 months from handover - during which they will return to rectify any defects in their workmanship at no additional cost.
Ask for this to be specified in writing in the contract. Ask separately about the warranties on specific items: cabinetry, waterproofing, electrical work. Understand the difference between defects caused by the contractor’s workmanship (covered) and damage caused by the homeowner’s use or external factors (not covered).
7. Can I See a Sample Contract Before We Proceed?
Before signing anything, you should be able to review the full contract at leisure. The contract should specify:
- Detailed scope of work
- Materials and brands to be used
- Project start and completion dates with provisions for delay
- Payment milestones
- Defect liability period
- Dispute resolution process
- The contractor’s company registration number and CIDB grade
A contractor who is reluctant to share a contract template before you commit to them is one who does not want you to read the fine print. Walk away.
A Final Word on Price
It is tempting to choose the lowest quote. Every renovation project has a budget, and a significantly lower price feels like a win.
The reality is that a contractor who quotes substantially below the market rate is doing one of three things: using lower-grade materials than you specified, planning to claim variations once the project is underway, or not factoring in proper supervision and quality control. In renovation, you rarely get more than you pay for - and you often get less.
The right benchmark is not the lowest price. It is the best value: a contractor who delivers what they promised, communicates clearly throughout, and stands behind their work after handover.
